GENERAL SUMMARY/ OVERVIEW STATEMENT
Under the direction of a Registered Nurse and Practice Manager, the Medical Assistant is responsible! for assisting physicians and nurses with evaluation, management and treatment of patients during office visits and other tasks related to the visit. Accountable for the intake of pediatric patients, coordination of the flow of the practice, escorting patients to the rooms and helping with other tasks as needed. Primary roles are to ensure efficient patient flow through the office, to maintain neat, clean and safe patient care areas, and to promote patient satisfaction by interacting with patients in a professional, friendly manner consistent with their needs. The Medical Assistant II will be responsible for the oversight of non-licensure clinical duties, in additional to providing direct and indirect services to patients, within the unit. This will include, but not limited to, the support of clinical staff, training, quality assurance monitoring, problem solving, administrative functions, and special projects.
PRINCIPAL DUTIES AND RESPONSIBILITIES
1. Assure efficie! nt patient flow through the office
Assures patient medical! record is complete prior to visit
Greats patient in waiting room and escorts to exam room

Assists with admission process:
Checks patient’s blue card for identification
Documents chief complaint or symptom in medical record, as stated y the patient
Documents current medications and prescriptions that need to be removed
Reviews record for immunization needs
Documents level of pain on all patients
Assists with meter and pump downloads as needed
Instructs patient how to prepare for the physician or nurse
Anticipates / sets up special equipment and/or supplies needed for the visit
Alerts physician or nurse when patient is ready and communicates pertinent clinical information
Assists patient through check out process when visit is complete
Cleans and prepares room for next patient
Responds to needs to expedite visits and keep on schedule
2. Assures efficiency throughout the office
Provides administr! ative support to the clinical staff: faxing, photocopying, organization patient education files.
Files copies of correspondence, reports, notes, etc., in appropriate locations.
Assures patient medical chart is complete prior to visit; creates and maintains patient charts in an orderly and confidential manner working with RN/NP as needed to assist for all satellite locations.
Maintains confidentiality and privacy consistent with HIPAA guidelines.
Triages and manages complex telephone calls, utilizing courteous customer service skills, ensures that calls and/or messages are directed to and received by providers and support staff, reviews these with physician or nurse per practice protocols and takes action as directed, call back families as needed.
Order and restock supplies and special order medication and ensure that products arrive prior to appointment date needed (QA Precisions blood glucose meters, A1C, Lupron)
Assist with pump education class! es (set up, room reservations)
Processes, mails, and faxes school o! rders and letters as directed
Ensure that bulletin boards and exam rooms are updated with information about monthly ADA and Jdrf groups
Obtain visit referrals for patient visits requiring a referral
3. Assists physician or nurse with patient care during the visit
Adheres to hand hygiene and standard precaution guidelines
Provides care appropriate to age group of patients in practice setting and documents data per practice protocols, including age appropriate vital signs and measurements (abdominal girth)
Collects specimens during visit and as applicable provides instructions for specimen collection at home
Tests specimens as necessary
Assists physician or nurse with patient examination, procedures and treatments as directed
Performs other tests, procedures and treatments as directed, including visual acuity tests, simple dry, sterile dressings, blood glucose, urine (dip stick).
Completes set up for simulation tests
Completes requi! sition forms, labeling and timing of samples
Documents testing/results per practice protocols
4. Assists physician and nurse with work outside the visit related to managing a panel of patients.
Performs designated tasks related to tracking test results and may communicate normal test results to patients as directed by physician or nurse
Receives patient messages, reviews these with physician or nurse per pratice protocols and takes action as directed.
Faxes, mails or phones in prescription renewals as directed by the prescribing provider and under the supervision of the prescriber or nurse
Assists the physicians and nurses in coordinating care with/making referrals to community agencies for non-clinical services
5. Maintains neat, clean, and safe exam rooms and treatment areas
Assures patient care areas are neat, clean and professional looking
Assures exam and treatment rooms are properly stocked, equipped and secured as applicable
As! sures all equipment is in good working order and if not takes active st! eps to make sure equipment is repaired or replaced
Cleans equipment after patient use per office protocols
6. Promotes patient / customer satisfaction by interacting with patients in a professional, friendly manner consistent with their needs
Adheres to Human Resources policies with respect to attendance and dress code
Adheres to MGH customer service philosophy in all patient interactions
Communicates appropriately and effectively with patients
7. Functions as an integral part of the patient care team
Interacts in a professional, cooperative way with other practice staff
Accepts delegate responsibilities in a positive manner
Offers help to others in the practice when not busy.
Before leaving the practice on breaks/lunch makes sure adequate coverage is available
Engages in constructive problem solving with others in the practice as problems arise.
Attends and participates in practice staff meetings

QUALIFICATIONS:
Medical Assistant and Basic Life Support certification required, Associates degree preferred. 1+ years Medical Practice Experience preferred.
SKILLS/ ABILITIES/ COMPETENCIES REQUIRED
Excellent interpersonal and strong customer service skills required.
Sound judgment and problem-solving ability
Ability to prioritize
Accuracy and attention to detail
Ability to multi task and prioritize workflow in a fast paced, heavy volume Pediatric practice.
Must have strong written and verbal communication skills
Must possess strong learning skills
WORKING CONDITIONS
The individual would work on Yawkey 6 in a busy multi-specialty practice. This is a busy open area and often noisy. Work must be executed under a fair degree of constant pressure
