Unit Administrative Associate Coordinator

Location: Boston Massachusetts

Functions as a unit clerical coordinator to assist in facilitating patient care on a Nursing Unit as directed by Nurse Manager/Charge Nurse. DUTIES AND RESPONSIBILITIES

1. Functions as unit clerical coordinator to facilitate patient care service and further harmonious relationships with a multi-disciplinary staff and visitors in accordance with personnel and safety policies and procedures.
2. Operates specialized word processing equipment to produce basic memorandums, reports, forms, etc. utilizing word processing software.
3. Performs clerical duties to facilitate efficient management of patients by coordinating activities and services which promote continuity of patient care (e.g. specialist consultations).
4. Answers telephone, records and relays messages in a courteous and timely manner.
5. Requisitions supplies/equipment.
6. If necessary, prints labels for collected specimens, facilitates delivery to lab, ensures timely response from lab and files results accurately.
7. Compiles admission records and labels ! all forms, records and reports accurately.
8. Maintain inv! entories and orders supplies from appropriate areas.
9. Completes and routes Repair Requisitions to appropriate areas, and maintains a log of these requests and when they have been completed.
10. Delivers mail to patients and personnel.
11. Checks and returns completed patient records to Medical Records Department.
12. Assists in filling out the daily census whenever there is an admission.
13. Makes Identification (I.D.) Bracelets for patients as needed.
14. Checks and replaces I.D. Cards on patients' room placard as necessary.
15. Participates in data collection and documentation of Performance Improvement Program as directed by Nurse Manager/Charge Nurse.
16. Compiles in order of procedure, the patient's medical record and prepares it for closure.
17. Promotes and maintains the milieu of the nurse station environment in order to ensure the efficient, confidential and effective flow of work.
18. Attends meetings and educational progr! ams as assigned by Nurse Manager.
19. Coordinates and prioritizes activities in order to accomplish work objectives.
20. Performs data input and other related duties in conjunction with Meditech system.
21. Performs other related duties as required by Nurse Manager.
22. Demonstrates skills appropriate to the age of patients served.
23. Demonstrates sensitivity and respect for patients' cultural and religious preferences/needs

Qualifications:MINIMUM ENTRANCE REQUIREMENTS:
Applicants must have at least (A) two years of full-time, or equivalent part-time experience in office work the major duties of which included typing, or (B) any equivalent combination of the required experience and the substitutions below.

Substitutions:
I. A diploma as evidence of graduation from a commercial or business course of a recognized high school or vocational/technical high school maybe substituted for a maximum of one year of th! e required experience.

II. A diploma as evidence of graduation! from a course other than a commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required experience.*

III. A diploma for completion of a program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required experience.*

IV. An Associate's or higher degree may be substituted for a maximum of one year of the required experience.*

Education toward such a degree or diploma will be prorated on the basis of the proportion of the requirements actually completed.

Preferred Qualifications:
QUALIFICATIONS REQUIRED AT HIRE

1. Knowledge of medical terminology as evidenced by certificate, diploma, or demonstration via in house test! , is strongly preferred.
2. Knowledge of the types and applications of standard office filing systems.
3. Knowledge of clerical office practices and procedures including office record keeping, office correspondence control.
4. Skill in typing at a minimum of 30 words per minute.
5. Ability to understand and apply the laws, rules, regulations, policies and procedures governing Nursing Department.
6. Ability to read, write and comprehend the English language.
7. Ability to use proper grammar, punctuation and spelling.
8. Ability to follow written and oral instructions.
9. Ability to assemble items of information in accordance with established procedures.
10. Ability to work accurately with names, numbers, codes and/or symbols.
11. Ability to file material in accordance with standard filing procedures.
12. Ability to maintain accurate records.
13. Ability to communicate effectively in oral expression.
14. Ability to establish! and maintain harmonious working relationships with others.
15. Abi! lity to deal tactfully with others.
16. Ability to exercise discretion in handling confidential information.
17. Knowledge of the types and uses of word processing systems, equipment, software packages and applications strongly preferred.
18. Skill in operating word processing equipment strongly preferred.
