ASE & GSR HR Analyst


 Under the general direction of the Manager of Human Resources, the Academic Human Resources Analyst for Graduate Student Employment, (Academic HR Analyst) manages all aspect of the payroll life cycle for 150 Graduate Student positions (GSRs and ASEs) within the School of Education and Information Studies (Ed&IS). The Academic HR Analyst manages and executes all functions related to this subset of academic student employees. This includes developing internal controls and procedures for staffing, appointments, onboarding, subsequent personnel actions, and payroll processing. As needed, the Academic HR Analyst will collaborate with internal and external departmental offices such as Division of Graduate Education, Dashew Center, and Employee and Labor Relations - to obtain exceptional approvals for appointments or research employment related questions.

The Academic HR Analyst for Graduate Student Employment ensures the accurate and timely processing of payments and other personnel actions to comply with the campus policy and federal employment regulations. This includes being responsible for maintaining accurate and current personnel information; administering leaves in accordance with UC policies, procedures, and labor contracts; assisting in the development and implementation of administrative and operational process and procedures to improve efficiency and productivity; developing departmental resources and trainings; and creating internal staffing reports for various uses. The Academic HR Analyst for Graduate Student Employment will also be the point person for all labor relations and grievance matters pertaining to BX, BR, and PX union employees

Additional duties include academic personnel/payroll data analysis and processing, drafting and reviewing student offer letters, developing and researching internal HRIS systems, creating and implementing trainings and orientations, and implementing staff engagement programs (trainings, moral building activities, etc.). The incumbent will serve as back up to Human Resources Team members as needed.

The incumbent must be able to interpret policy, take initiative, make good judgements, and independently prioritizes work while maintaining confidentiality.

Required/Preferred

B.A. degree or equivalent years of professional experience.

Required

2 to 5 years of experience working in an administrative department, preferably within a University or institution of higher education.

Required

Advanced knowledge of University Academic, Personnel, and Payroll policies, procedures, and organizational structure.

Preferred

Knowledge and experience in using UCLA systems including UCPath, Online Financial Systems Reports (OFSR), Campus Data Warehouse (CDW), People Admin and UCTRS.

Can be trained

Excellent written, verbal, and editing skills.

Ability to make oral, group, and one-on-one presentation for the purposes of providing information, explaining policies and procedures, and answer questions.

Advanced skill in using a PC, with proficiency in using Microsoft Office software in a Windows environment. (Word, Excel, Outlook, etc.)

Skill in writing and editing grammatically correct and logically organized documents such as memos, correspondence, and job postings.

Excellent skill in counseling techniques to assist staff and student employees with sensitive and confidential employee relations issues.

Ability to use various types of applications, software, or technologies to improve work flow. Examples include task management systems, SLACK, Teams, box, etc.
