Supervisory Responsibility: Archivist and Interns
Use judgment and initiative while overseeing operations of the Gallery, which includes staff supervision and performing a wide range of office management/administrative, public relations, and event planning duties.
Education/Licenses/Certifications: bachelor’s degree required.
Experience: One year in a gallery setting in a supervisory or lead position developing and maintaining databases, writing correspondence, coordinating events, and performing public relations work. Experience working with the public, including those at the executive level.
Knowledge/Abilities/Skills:
This is a program for adults who have varying degrees of learning, behavioral, emotional, and developmental disabilities. Employee may encounter consumers who are in crisis, exhibiting emotional/psychological distress or behaving in an aggressive manner. Exposure to odors from acrylic paints, oil base paints, and cleaning and mixing solutions; fine debris from ceramics; mild noise from the kiln and from instructors and artists interacting in an open space. Environment may include frequent interruptions, loud noise, varying indoor temperature, and drafts. Exposure to changes in temperature and weather conditions when travelling to art exhibits, other ECF sites, etc

Position Summary
Use judgment and initiative while overseeing operations of the Gallery, which includes staff supervision and performing a wide range of office management/administrative, public relations, and event planning duties.
Essential Duties and Responsibilities
- Assist with coordinating all aspects of art shows and special events, including collaborating with Development department for fundraisers. Manage and delegate duties to assigned staff. Ensure proper staffing, arrange food service, mail invitations, send press releases, post announcements and advertisements, prepare art information cards for exhibits, assist with installations and teardown, and send thank you letters after the event. Attend art-related events and fairs to promote the Art Center Program and artists.
- Maintain accurate digital inventory of all artwork and categorize portfolios by art style and genres. Use Art Record to log art and art supply sales, standard Gallery commission distributions, contracts, agreements and reimbursements. Work with different sales and inventory applications that track and process artwork, and sales. Take quality digital imagery for art inventory, events and publicity. Develop and maintain site manuals for archiving, art exhibitions and art sales. Manage accurate sales records and process sales, reporting to Accounting Dept.
- Complete monthly billing, record invoices, purchase orders, staff expenditures and submit to accounting department for reimbursement. Order office supplies and maintain inventory.
- In consultation with the supervisor and Human Resources, handle personnel administration, including recruitment, hiring, training, supervision, development and evaluation of staff in compliance with established ECF Policies and Procedures. Act as the liaison between staff and artists. Act as the liaison between the Director and staff.
- Research relevant art related juried exhibitions and grant opportunities and assist artists in completing applications, etc. Process registrations for Community Art Classes.
- Develop and maintain comprehensive monographs for artists featured in our website and gallery utilizing proper art industry terminology. This includes thorough research on their background, artistic practices, and notable works.
- Manage, compile, and distribute Squarespace e-newsletter. Organize, update, and maintain client distribution and donor mailing list in a timely and accurate manner. Conduct and implement marketing research using the Internet and other public sources. Update and upload gallery and program websites using Photoshop and Squarespace to ensure accurate and timely representation of ongoing and upcoming exhibitions and events.
- Ensure safety of consumers and staff by adhering to and overseeing compliance with ECF’s Injury Prevention Program, which includes staff training.
- Maintain efficient building and office operation and ensure professional appearance of the gallery. Ensure facility maintenance/upkeep of the gallery and studio, by scheduling required repairs, etc. Ensure proper maintenance of office equipment and schedule regular maintenance servicing or repairs.
- Frequently visit ECF’s Art Centers to become familiar with our artists, engage in discussions about their work, and develop a comprehensive understanding of their creative processes.
Other Duties
- Comply with ECF’s Injury and Illness Prevention Program. Ensure safe use and operation of tools and/or equipment.
- Comply with ECF policies and procedures, including mandated reporting requirements.
- Observe regular, on-site work hours.
- Perform other duties as assigned.
Qualifications
Education/Licenses/Certifications: bachelor’s degree required.

- Basic knowledge of photography and lighting.
- Knowledge of contemporary art.
- Excellent organizational and communication skills, written and verbal, using tact and diplomacy at all times.
- Excellent ability to multi-task using a high level of accuracy, prioritize and manage time in a fast-paced environment.
- Strong retail art business aptitude,
- Proficient with Microsoft Outlook, MS Word, Excel (spread sheets, calculations, formulas, etc.), and have excellent internet research skills. Knowledge of Illustrator, Photoshop, and Squarespace.
- Ability to accurately perform basic math calculations.
- Accurate data recording and management capabilities.
- Ability to maintain confidentiality of sensitive issues and material.
- Maintain professional appearance, dress, and demeanor
Requirements
- Valid California driver’s license, reliable transportation, evidence of car insurance, and insurable driving record.
- Pass a DOJ background investigation.
- Provide evidence of a negative TB test initially and every three years thereafter.
- Obtain and maintain NCI, First Aid and CPR certification.
